Confirm what the letter actually proves

A verification letter reports employment facts. Its contents may be narrower than a reference, contract, payroll record, or tax document.

01

Source record

Check employer identity, role, start and end dates, hours, and signature.

02

Reader and purpose

Current employment and past employment wording must not be blurred.

03

Quote details

Ask whether salary, full-time status, or duties must be shown by a separate document.

What to check before ordering

These notes help you describe your request. The receiving organization’s current instructions should guide the final requirements.

Ask the recipient which facts must appear

A school, lender, consulate, employer, or other recipient may be checking different facts. Ask whether it needs job title, work location, start and end dates, current employment status, hours, salary, duties, employer contact, or a recent issue date. If the source letter leaves out a required fact, request an updated original from the employer before arranging translation. A translator cannot add facts that are not there.

Do not confuse past service with a Slovak work-residence document

The Slovak Foreign Ministry’s August 2026 temporary-residence checklist separates employment routes. Under Section 23(2), its proof-of-purpose options include a work permit or employer confirmation of future activity for which a work permit is not required, with a stated 90-day age rule for that proof. A letter confirming past or current employment may answer a different question. Ask the receiving office for the exact route and document wording before paying to translate a generic verification letter.

Check tense, dates, and employer identity

A letter saying someone is currently employed is different from one confirming past service. Note the letter date, dates of employment, any leave or transfer, company name, department, signer’s role, letterhead, and signature. If an attached schedule defines duties or pay, mention it in the translation scope. A source correction should come from the issuing employer, not from a translation edit.

Do not substitute a recommendation for a certificate

An employment reference can include a supervisor’s evaluation or recommendation; a verification letter is usually limited to factual history. The recipient might ask for one, both, or direct employer confirmation. Ask it whether an English original plus translation is acceptable and whether it has formatting or official-translation instructions. The translated letter does not independently verify that the employer’s statements are true.

Give only the quote details needed

Provide the letter type, page count, issuing country, recipient, whether any annex is attached, required translation form, and deadline. Do not place salary figures, employee numbers, addresses, or other personal details in the public quote form. A legible copy can be reviewed through an agreed channel after the scope is clear.

Common questions

Answers to common questions before you request a quote.

Can missing salary or hours be supplied in the translation?

No. Ask the employer for an updated source letter if the recipient requires those facts.

Is a verification letter the same as an employment reference?

Usually not. A reference may evaluate performance; a verification letter typically states employment facts. Ask the recipient which record it requires.

Will a past-employment letter prove the purpose of a Slovak work-residence application?

Do not assume so. The Foreign Ministry lists specific purpose evidence for the relevant Section 23 route; for Section 23(2), this can be a work permit or qualifying confirmation of future activity. Ask the receiving office which record and translation it requires.
