Find the controlling order and its revisions

A purchase order states what a buyer asked to buy. Later amendments, acceptance, invoices, and delivery documents can tell a different part of the transaction.

01

Source record

Include terms on reverse pages, item schedules, revisions, and incorporated specifications.

02

Reader and purpose

Part numbers, units, Incoterms references, and prices should remain traceable.

03

Quote details

Ask whether the recipient needs the latest order or the complete change history.

What to check before ordering

These notes help you describe your request. The receiving organization’s current instructions should guide the final requirements.

Identify the issued version and transaction stage

Record the buyer and supplier, order number, issue date, revision number, acceptance status, delivery location, and whether the document is a draft, issued order, or signed change. If the Slovak reader is reviewing a dispute, payment, or fulfillment, ask whether it needs the original and each amendment rather than only the latest printout. Translation should not imply that an unsigned draft was accepted.

Keep commercial terms and codes exact

Separate item numbers, product descriptions, quantities, unit prices, currency, taxes, shipping terms, delivery milestones, warranty references, and payment terms. A code or Incoterms reference may have a defined commercial meaning; retain the source code while translating the surrounding explanation. Do not decide which party carries risk or rewrite a term to fit an assumed Slovak equivalent. The parties or their advisers should resolve contractual interpretation.

Include terms incorporated by reference

Orders may point to a specification, framework agreement, supplier conditions, drawing, or website terms. Ask the reader which referenced documents and reverse pages belong in scope. A purchase order number may also be used later for invoice matching; for example, the European Central Bank’s supplier instructions require its own PO number on invoices. That is a buyer-specific example, not a universal filing rule.

Request a quote with useful counts

State the industry, number of order versions, pages, item rows, attached specifications, file formats, Slovak reader, and deadline. Mention whether an exact translation or separate adapted customer-facing text is wanted. Avoid entering prices, bank details, customer names, and proprietary product information in the initial public form.

Common questions

Should product codes be translated?

Keep controlled codes recognizable. Translate descriptions and provide any approved product glossary or code key.

Can I translate only the latest order?

Ask the reader. An earlier order and change notice may be needed to understand what was revised.
