What to know
A packing list, bill of lading, waybill, and delivery note describe different facts. The exact form matters to a consignee or broker.
Include all pages, container or tracking references, stamps, and attached item lists.
Weight units, package counts, consignee details, and transport terms need consistency.
Ask whether the customs broker or consignee has a required format.
Document guide
These notes help you describe your request. The receiving organization’s current instructions should guide the final requirements.
A packing list describes packages and contents; a bill of lading or waybill relates to carriage, while a delivery note can record handover. EU Access2Markets notes that advance cargo data may draw on exporter records such as a bill of lading and commercial invoice. Ask the Slovak recipient or customs broker which precise source forms it needs. Do not replace a missing form with a translated document of a different type.
Match the consignor, consignee, carrier, issue date, origin, destination, shipment or container reference, package marks, item descriptions, gross and net weights, units, and signatures as printed. A packing list may have hundreds of rows or a separate item sheet. Translation should preserve the relationship between package number and item description without inventing quantities or changing units.
A commercial invoice, packing list, and transport document can refer to the same shipment but show different numbers or dates. Identify the documents as a set and tell the recipient about any mismatch. A translator should not silently reconcile inconsistent values; the issuer, carrier, or customs professional must correct the underlying record if needed. Confirm whether stamps, handwritten notes, and terms on the reverse are included.
State the transport mode, exact document names, number of forms and item rows, scan or editable format, reader, required translation form, and deadline. Do not enter tracking numbers, commercial values, or customer addresses in the public quote form.
