Manuals contain more than body text

A complete request accounts for all the words users will encounter.

01

Audience and subject

Is the manual for consumers, installers, maintenance teams, or specialist operators? Identify the product and industry.

02

Embedded material

Mention warnings, captions, diagrams, tables, screenshots, labels, and user interface strings.

03

Source and output

Tell us whether you have editable files or only a PDF, and which output format your team needs.

Name the product, reader, and exact manual

Identify the product model or family, source-language edition, revision number, and Slovak readership. A consumer quick-start sheet, installer instructions, service manual, and internal engineering file can contain different procedures even for the same product. Say whether the request covers one document or a set, and whether the Slovak edition must follow an existing layout. This prevents a quote for body text alone when the delivered manual must also include tables, labels, and drawings.

Review warnings in their operating context

Mark the steps, hazard statements, equipment states, and control names that your product team treats as safety critical. Tell us whether existing Slovak labels, screen text, or approved terminology must be followed. For products within the scope of EU product rules, Your Europe explains that relevant instructions and safety information may need language users can understand; the precise obligation depends on the product and market. The manufacturer or compliance owner must check the applicable rule and approve the finished instructions. Translation alone is not a conformity assessment.

For machinery, identify the original instructions

For machinery covered by Directive 2006/42/EC, Annex I sections 1.7.4 and 1.7.4.1 require instructions in the official language of the Member State of supply or use. Where the Slovak edition is a translation, it must be identified as a translation of the original instructions and accompanied by the original. Slovakia’s machinery regulation 436/2008, section 4(1)(b), refers to the Directive’s instruction rules. Ask the manufacturer which English version it has verified as the original and how the two editions will be delivered together. The Directive has a narrow language exception for maintenance instructions used by specialized personnel mandated by the manufacturer or its authorized representative; do not apply that exception to every service manual or operator.

Plan machinery releases around the 2027 transition

Regulation (EU) 2023/1230 generally applies from 20 January 2027 and replaces the Machinery Directive, although specified articles apply earlier. Its Article 52 also addresses products placed on the market under the Directive before that date. Ask the manufacturer or compliance owner which regime and transition apply to the product, its market-placement date, and this manual revision. Do not assume every existing manual must be replaced on the same day, or that the future rules already govern every 2026 delivery. Recheck the current legislation before approving the release.

Inventory text that a word count can miss

Count titles, warning panels, tables, part lists, captions, exploded diagrams, labels, screenshots, and text embedded in artwork. Point out any untranslated on-product marking or software interface that readers must match to the manual. A flattened scan may require text extraction or artwork recreation; editable source files can change the formatting scope. Send a list of file types and whether diagrams can be edited, rather than copying sensitive design files into the first form.

Separate user instructions from technical documentation

A user manual and a manufacturer’s technical file serve different readers. Your Europe describes technical documentation as evidence used to demonstrate compliance and notes that market surveillance authorities may request translation of relevant parts. Do not assume that translating the customer manual also covers a regulator’s technical-documentation request. Identify the recipient and the precise document before deciding the scope.

Plan terminology, review, and later revisions

Provide the approved product glossary, existing Slovak labels, previous manuals, and current source revision if available. Name the person who can answer technical questions and review the Slovak version against the actual product. If an English warning, part name, or procedure changes after scoping, flag the revision rather than merging versions silently. For a quote, state the approximate pages or words, embedded-text locations, file formats, target market, output format, and needed date.

How to request a quote

Tell us what the document is, who needs the Slovak translation, and when you need it. The first form does not require a file.

01

Describe the document

Choose the type and tell us where the translation will be used.

02

Add your requirements

Include the approximate length, deadline, and any instructions from the recipient.

03

Review and next steps

We review the request and may contact you by email if more detail is needed.

Common questions

Answers to common questions before you request a quote.

Should the English original accompany a translated machinery manual?

For machinery under Directive 2006/42/EC, the translated instructions must accompany the original instructions. Ask the manufacturer to identify the verified original and the required translation label, and confirm which regime applies to this product and release.

Can text inside diagrams be translated?

Mention the diagrams and whether editable artwork exists. Embedded text and layout work should be included in the scope rather than assumed to be part of a body-text word count.

Is a translated manual the same as translated technical documentation?

No. The intended reader and contents can differ. State whether the request is for user instructions, an internal file, or material requested by an authority.

Will the Slovak manual meet product regulations?

Translation alone does not establish conformity. Your product or compliance team should identify the applicable rules and approve the final instructions for the intended market.

Can you use our existing terminology?

Mention approved glossaries, on-product labels, and prior Slovak documentation so terminology and review can be included in the scope.
